Job Title: Epic Project Manager
Duration: 12 Months
Location: Raleigh-Durham, NC-Hybrid
Note:
  • Hybrid arrangement - There will be a one-week orientation session in September , and likely 1 week per month during the project , with being onsite for about 2-4 weeks for go live prep and go live support for each wave of deployment (3 waves). About 8-12 times during the project on average but could vary.

Job Description:
The client requires the services of an EXPERT Epic Clinical project manager to manage the planning and implementation of an EHR implementation project for the Division of State Operated Healthcare Facilities and transition from the legacy and siloed clinical applications.
  • This project management role will work with other EHR project managers and executive leadership team, multiple internal and external stakeholders, and selected vendor(s) to analyze, plan, and implement the clinical components required for an Epic EHR system.
  • This position will be responsible for working with senior-level business executives, IT management and personnel, business program resources and vendor staff to define and execute requirements and manage stakeholder expectations.
  • This position will manage the day-to-day activities for the assigned portion of the project and complete all input into overall EHR program reporting and the State's Project Portfolio Tool (MS Project Server) as needed.
Responsibilities include but are not limited to:
Maintaining the scope, schedule, and quality of the project for the Clinical EHR build team. Modules in scope are:

  • Setting clear expectations for team members, including defining what they should do at each phase of the project.
  • Working closely with the EHR Program Director and other project managers/team managers to coordinate activities.
  • Ensuring that the business community is engaged in the project.
  • Advising and coaching team members by providing guidance on project issues, key success factors of the project, and lessons learned.
  • Sharing with team members the positive effects of innovation and system capabilities.
  • Reinforcing the importance of the project together with the EHR program executives and the Program Director, and providing consistent communication to the project team
  • Organizing resources within the organization
  • Motivating and showing appreciation for the team
  • Appropriately matching team member skills to team responsibilities
  • Managing the project from an organizational perspective while attending to detailed tasks
  • Assisting as a support contact for revenue cycle.
  • Identifying and troubleshooting issues.
  • Guiding workflow design, building and testing the system, and analyzing other technical issues associated with Epic software.
  • Serving as a liaison between organizational needs and Epic implementation staff
  • Maintaining regular communication with Epic representatives, including participating in weekly project team meetings
  • Working with Epic representatives, the business community, and end users to ensure the system meets the organization's business needs in regard to the project deliverables and timeline.
  • Developing an understanding of operational needs to set the direction for the organization's workflows.
  • Participating in training and working with end users.
  • Reporting and reviewing the status of projects and issues on an ongoing basis with leadership.
  • Holding weekly communications with team members to discuss the status of deliverables, shared issues, end-user concerns, budget, and upcoming milestones.
  • Developing and maintaining all required State CIO and DHHS PMO project documentation in coordination with other EHR PMO PM resources

Required Skills:
  • Certified by Epic in at least one Clinical Inpatient or Ambulatory application.
  • Experience working on IT projects to deliver and/or enhance Electronic Health Record clinical applications.
  • Experience working on clinical healthcare information technology projects
  • Ability to create simple to complex project plans, timelines and work breakdown structures using project management tools (Microsoft Project)
  • Very strong work ethic and ability to work at a fast pace to meet aggressive mandated timelines
  • Must have strategic planning skills with good understanding of roadmap development
  • Capable of leading effective project meetings that are tailored to the audience
  • Negotiation, written/oral communication and problem-solving skills
  • Ability to write and present effective project materials, including presentations and status reports
  • Ability to work effectively with all levels of staff, clients and other IT personnel including vendors
  • Proven experience with working collaboratively with business/program partners
  • Ability to identify and resolve effectively system or business process/project issues
  • Ability to build, influence, lead and motivate effective teams towards end results
  • Flexibility, adaptability, and ability to work in a high-demand dynamic environment
  • Strong analytical skills
  • Experience managing or supervising legacy system replacement projects
  • Experience planning and managing data conversion activities
  • Experience building rollout plans
  • Epic clinical EHR experience -Highly desired
  • PMP Certification -Highly desired
  • State Government experience -Desired
  • Ability to assist the state in identifying areas where clinical workflows could be improved.
