What We Need:

The Executive Assistant to the Market President will provide high-level administrative support to ensure the smooth functioning of the office. This role requires excellent organizational skills, the ability to manage multiple tasks, and a keen attention to detail. The ideal candidate will be proactive and able to anticipate the needs of the President and the office while maintaining a high degree of professionalism.

What You'll Do:

  • Manage the Market President’s calendar, schedule appointments, coordinate meetings, and arrange travel logistics.
  • Act as a key liaison, ensuring seamless coordination between the Market President, executives, and their teams.
  • Organize and maintain daily, weekly, and monthly tasks, utilizing a shared to-do list to prioritize and track progress.
  • Process expense reports, manage office supplies, distribute mail, and handle day-to-day office management tasks.
  • Coordinate and plan internal and external events, including staff meetings, employee celebrations, leadership retreats, and client engagements.
  • Oversee company communications such as newsletters, announcements, and team-wide updates.
  • Manage trade agreements and tools, ensuring accurate tracking and communication of trade availability across the team.
  • Assist with sales incentives, client gifting, and employee recognition programs, ensuring timely distribution and coordination with vendors and trade partners.
  • Support new hire onboarding, including managing key logistics, distribution lists, and internal communications.
  • Handle IT-related requests and serve as the point person for general office issues and coordination.
  • Maintain organizational charts and other key internal documents, ensuring they are regularly updated and accurate.
  • Assist in compliance tasks related to FCC/EEO and other regulatory requirements.
  • Provide after-hours and weekend support during busy periods or high-priority events.

What You'll Need:

  • Proven experience as an Executive Assistant or Office Manager.
  • Strong organizational, multitasking, and time-management skills.
  • Proficient in Microsoft Office Suite, Canva, and Mailchimp.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a collaborative team.
  • Experience coordinating events and managing budgets.
  • Familiarity with trade agreements.
  • Flexibility to work after-hours and weekends when necessary.

Compensation:

Salary to be determined by multiple factors including but not limited to relevant experience, knowledge, skills, other job-related qualifications, and alignment with market data.
