Annual Salary: $20.00 / Hourly Rate

Position Objective :

This position plays a critical role in supporting the Museum & Education Department by coordinating assigned tasks for department-related programs, events, and activities. In addition to performing general administrative and clerical duties, this role is integral to advancing the Center's commitment to diversity, equity, inclusion, and belonging (DEIB). The individual will assist in executing DEIB initiatives within the Museum & Education programming, ensuring that these values are reflected in all aspects of the department's work.

Requirements

Duties and Responsibilities:

Key duties and responsibilities include, but are not limited to:
  • Provide coordination support for education programs, museum exhibitions, and community events, including scheduling, managing program databases, facilitating communication with stakeholders, attending and coordinating day-of logistics
  • Assist with program planning and managing events in Artifax and Salesforce.
  • Handle general administrative tasks such as invoice processing, ordering supplies, preparing reports and loan agreements, and maintaining departmental records.
  • Create and manage email blasts, social media updates, and website content; distribute program materials to community sites.
  • Assist with program evaluations, tracking participation statistics, and leading tours and field trips.
  • Assist in creating educational materials for exhibitions, including activity guides and docent training materials
  • Perform miscellaneous clerical tasks, including typing, photocopying, scanning, data entry, and maintaining an organized work area.
  • Schedule and train volunteers for field trips, community events, and other activities.
  • Provide coverage at the museum front desk as needed.
  • Support special projects and other duties as assigned by Museum & Education staff.
  • Support the Education Manager in developing and implementing curriculum for arts education programs.
  • Assist the Education Manager in implementing DEIB initiatives, including research, progress tracking, coordinating training sessions, and facilitating DEIB Committee meetings.
Other duties as deemed necessary by the direct supervisor.

Knowledge, Skills, and Abilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Excellent written, communication, interpersonal, and customer service skills.
  • Efficiency with time management and prioritizing tasks.
  • Ability to proofread.
  • Computer skills with intermediate to advanced proficiency in Microsoft Office Suite and cloud based programs.
  • Graphic design skills preferred but not required.
  • Demonstrated interest in the visual and performing arts is preferred.
  • Flexibility to work occasional evening and weekend events.
  • Bilingual Spanish speaking is preferred.

Education and Experience:
  • Preferred experience working in an arts organization, museum, gallery, or arts education program.
  • Preferred experience in art handling and care.
  • Preferred experience in creating and managing digital content, including email campaigns, social media updates, and website maintenance.
  • Proven experience in implementing arts programs and events, including scheduling, database management, and stakeholder communication.

Working Environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The workspace is in an office and front desk environment. Noise levels vary, but can be moderate to high during programming and events. While performing this job, the employee is exposed to weather conditions prevalent at the time with respect to both indoor and outdoor events. Temperature levels may include hot, cold, and mild. The noise level in the work environment may be low, moderate, and at times may be high.
