Position Title :Part - Time Administrative Assistant II, Special Education

Assignment Location : Juvenile Services Center (JSC) - Riverside/New Chance in Hastings, MN to support the Care and Treatment Programs

Hours per Day : 4.0

Schedule : Monday through Friday from 8:00AM - 12:00 PM, 226 days per year

Anticipated Start Date : ASAP

Starting At : $22.61 per hour per the Office Professionals/Clerical Contract

POSITION OVERVIEW :

Under the supervision of the Assistant Director/Principal, the Administrative Assistant II completes various administrative support tasks, maintains records, reports, answers and screens phone calls, provides general information for staff, students, parents, and the general public, and performs related work as apparent or assigned. In this role, the administrative assistant must utilize knowledge of business English, spelling and arithmetic, organizational skills coordinating work flow and activities, and general knowledge of office equipment, computers, and various software programs including accounting software. The individual in this position has the ability to analyze and interpret policy and procedural guidelines. He or she must be able to type at a reasonable rate of speed, prepare effective and correct correspondences on routine matters, and perform routine office management details without referral to his or her supervisor. In this role, it is vital to communicate clearly and effectively, both orally and in written format, and to resolve problems and inquiries in a manner that establishes and maintains an effective working relationship with school personnel, students, parents, and the general public.

RESPONSIBILITIES : Serves as office receptionist, welcoming guests and relaying basic information. Gathers and enters information, manages records and prepares reports related to department/program objectives using existing procedures or devising new methods, as necessary. Prepares, edits, coordinates, and forwards records, files, documents, and reports according to well established standards or readily available sources. Develops and revises work procedures, methods, and necessary forms. Schedules appointments and meetings. Maintains electronic and paper files. Orders and maintains supplies for the site/program(s). Performs other job-related duties, as assigned. QUALIFICATIONS : High school diploma or GED required with some experience working as an administrative assistant with mid-level responsibilities preferred; administrative assistant experience in a school setting strongly preferred. Self-starter with a positive attitude. Evidence of good communication skills, written and verbal, and good organizational skills. Evidence of excellent computer skills, working with Word, Excel, and Access. Ability to learn a variety of web based programs such as SPED Forms, Infinite Campus, eFinance PLUS, and others. Ability to problem solve and arrange staff coverage in coordination with AESOP, our staff attendance system, under short-notice deadlines. Ability to work as a team member with staff, parents, and community members. Ability to interact and build positive relationships with students of varying ability levels and skills. PHYSICAL REQUIREMENTS :

Work regularly requires sitting and frequently requires reaching with hands and arms. Occasionally requires exertion of up to 25 pounds of force, standing, walking, crouching, pushing or pulling, and lifting. Work has standard vision requirements; vocal communication and hearing is required for expressing or exchanging ideas and perceiving information. Work is generally in a moderately quiet location.
