Our next Administrative Coordinating will work in assisting our real estate agents throughout the process, supervise and optimize the work of our transaction team, guaranteeing easy and effective procedures that boost output and satisfy clients. This position includes managing marketing initiatives, arranging team events and meetings, supervising virtual assistants and staff, managing our real estate transaction management and listing operations, offering support to agents and clients, managing staff training, and carrying out high-level projects. Strong leadership qualities, outstanding problem-solving skills, an acute attention to detail, and in-depth knowledge of real estate operations are characteristics of the ideal applicant.

Responsibilities

•Assist the Director of Operations & Sales in carrying out several projects at once.
•To guarantee effective workflow, oversee and improve the daily operations of the organization's listing coordination and transaction management teams.
•Oversee the coordination of transactions and listings, which includes creating and evaluating contracts, keeping track of paperwork, and making sure all legal requirements are met.
•Assist the sales team administratively by setting up meetings, keeping track of calendars, and scheduling appointments.
•Organize marketing initiatives, such as digital marketing plans, advertising campaigns, and listing presentations.
•Track and document the performance of the transaction team, offering analysis and suggestions for development.
•Lead with urgency and a laser-like focus on the client to ensure outstanding customer service. Proactively and carefully plan ahead to anticipate client needs and avert needless crises.
•To guarantee accuracy and compliance with local, state, and federal regulations pertaining to listing and transaction management, conduct routine audits of sales processes and documentation.
•Possesses a love for planning, starting, and finishing projects.
•Oversee and assist with the onboarding, training, and performance reviews of transaction management employees.
•Put strategies into action to optimize profitability, time, and value to agents and clients.

Qualifications

Real Estate Experience is a MUST
•Minimum of 2 years of experience in management, operations, or administrative support.
•Proven track record of successfully managing an operations department, transaction management department, or listing coordination department and placing talented individuals into the positions they are suited for, as well as creating and growing leaders.
•Strong leadership and team management skills.
•Radiates confidence and is self-motivated, thriving in a collaborative environment.
•Excellent communication and interpersonal skills.
•In-depth knowledge of real estate principles, practices, and regulations.
•Proficiency in MLS software, Transaction Compliance, Microsoft Office Suite, Google Business Suite, Customer Relationship Management software (CRM) and Canva.
•Ability to analyze department performance data and prepare detailed reports.
•Strong organizational and time management skills.
•Ability to work independently and handle multiple projects simultaneously.

Preferred Qualifications:
•Advanced degree or additional certifications in real estate or a related field.
•Experience with Keller Williams Command, FlexMLS, StellarMLS, Google Business Suite, Sisu, Follow Up Boss, and Canva.
