Receptionist

Imperial, PA (onsite)

Client is seeking a Receptionist/Administrative Support professional to provide administrative assistance and ensure smooth office operations. This role involves managing reception duties, coordinating visitors, supporting meeting arrangements, and performing general office tasks.



Responsibilities:

• Answer phones, direct calls to appropriate personnel, and manage voicemail
• Register visitors, coordinate schedules, and ensure security procedures are followed
• Maintain break room supplies, including coffee, snacks, and necessary equipment
• Coordinate and arrange meeting rooms, including booking equipment, projectors, and catering
• Assist in scheduling and organizing meetings, both in-person and virtual (video/web conferencing)
• Manage mail services, including tracking and distributing inbound and outbound courier, freight, and mail
• Order office supplies, toner, printer paper, and other common-use items
• Maintain a neat and organized reception area and common spaces, including conference rooms and cafe
• Provide support for building and housekeeping services and ensure equipment is functioning properly
• Perform basic clerical duties, including drafting routine reports and correspondence
• Handle inquiries, complaints, and requests with a professional customer service orientation
• Ensure smooth visitor and vendor interactions, including issuing visitor passes and arranging escorts as necessary
• Coordinate with external vendors and negotiate pricing and menu options for catering
• Perform other administrative tasks and support duties as assigned

Requirements:

• Preferred 2 years of customer service experience, with a focus on front-line support
• College degree preferred but not required
• Proficient in MS Windows, MS Word, and MS Excel
• Strong organizational skills with attention to detail
• Pleasant demeanor with strong interpersonal communication skills
• Ability to understand and follow instructions and respond effectively to common inquiries
• Ability to calculate simple figures, such as percentages
• Basic analytical skills with the ability to solve problems in standard situations
• Must be able to work flexible schedules based on office needs
• Ability to work independently and as part of a team
