About the Role:

We are seeking a highly organized and motivated Virtual Assistant to play a crucial role in the smooth and efficient operation of our growing coaching business. As our Operations Manager, you will be responsible for a wide range of administrative and operational tasks, enabling the CEO to focus on strategic growth and client delivery.

Key Responsibilities:

HR & Coach Management:

  • Manage relationships with independent contractors/coaches:
  • Onboarding and offboarding processes
  • Scheduling and coordinating coach availability
  • Performance monitoring and feedback
  • Contract management and invoicing

Scheduling & Operations:

  • Manage client scheduling:
  • Book appointments and manage client schedules
  • Coordinate training schedules and logistics (online/in-person)
  • Manage event calendars and reminders

Business Development & Sales:

  • Lead generation and qualification: Identify and qualify potential leads through various channels (e.g., LinkedIn, email marketing, social media).
  • Sales support: Assist in the sales process, including preparing proposals, answering client inquiries, and closing deals.
  • CRM management: Maintain accurate records of client interactions, sales activities, and key performance indicators (KPIs) in a CRM system.

Client Management:

  • Client onboarding and support: Guide clients through the onboarding process and provide ongoing support.
  • Client communication: Manage client communication via email, phone, and other channels.
  • Client feedback and reviews: Collect and analyze client feedback to identify areas for improvement.

Website & Content Management:

  • Website maintenance: Update website content, ensure website functionality, and troubleshoot any issues.
  • Content creation: Assist in creating website content, blog posts, social media updates, and marketing materials.

Documentation & Administration:

  • Develop and maintain standard operating procedures (SOPs) for all key business processes.
  • Manage administrative tasks such as invoicing, expense reports, and data entry.

Market Research & Analysis:

  • Conduct market research to identify trends, competitor analysis, and potential new service offerings.

Other Responsibilities:

  • Assist the CEO with various administrative and operational tasks as needed.
  • Proactively identify and implement process improvements to increase efficiency and productivity.

Ideal Candidate:

  • Highly organized and detail-oriented: Proven ability to manage multiple tasks simultaneously and prioritize effectively.
  • Excellent communication and interpersonal skills: Strong written and verbal communication skills with the ability to build rapport with clients and coaches.
  • Proficient in technology: Expertise in using CRM systems (e.g., Salesforce, HubSpot), project management tools (e.g., Asana, Trello), and other relevant software.
  • Strong work ethic and initiative: A self-starter with a proactive approach and the ability to work independently.
  • Experience in the coaching or education industry: (Preferred)
